Privacy Policy

GVA Law Office (hereinafter referred to as “GVA”) will handle the information (“Client Information”) relating to GVA’s clients, users of GVA`s service (hereinafter referred to as “Services"), and other relevant individual (hereinafter collectively referred to as "Clients”) as follows.

Article 1 (General)

1. GVA shall comply with the Japanese Protection of Personal Information Act and other related laws and regulations and shall endeavor to properly handle and protect Client Information including personal information to assure the protection of such information.

2.  This Privacy Policy shall not apply to the services being provided by our business partner (“Business Partners”) that provide services in cooperation with GVA (“Partner Services”) and also to services to being provided by others (“External Services”). Please refer to the privacy policy separately prescribed by the Business Partner Services for the handling of Client Information in Partner Services.

Article 2 (Information to be obtained by GVA and its method of acquisition)

1 GVA, as stipulated below, may obtain and utilize Client Information including personal information (Personal information as defined by Article 2.1 of the Japanese Protection of Personal Information Act. The same shall apply hereafter).

(1) Information to be provided by Clients.

GVA will obtain necessary information including the name of Clients, the name of Client's company and company’s group name, titles, sex, date of birth, address, e-mail address, phone number, and others in providing the Services.

(2)  Information to be gathered by GVA when accessing our website.

a. Device information

When Clients access to our website on devices or mobile phones, GVA may collect the device information (ID information, etc. that can identify such devices) used by Clients in order to maintain and improve our website or to prevent unauthorized use.

b. Log information, action history, and information on the usage of our website.

GVA may collect IP address that is automatically generated and saved when using our website, request date and time , information on the history of operation in our website, and information concerning Clients' usage in order to maintain and improve our website, or to prevent unauthorized use.

c. Cookie and Anonymized ID

Our website may use a technology called “Cookie” and other similar technology. Cookie is an industry-standard technique by which a web server identifies Clients’ devices. Cookie can identify the devices used by Clients but cannot individually identify such Clients. The function of Cookie can be disabled by changing the settings on the device; however, by doing so, part or all of our website may not be available.

d. Information to be gathered through linkage with External Services.

GVA may gather information on which disclosure to business partners is allowed by Clients when using Facebook, the ID used by Clients in other External Services and privacy settings of External Services.

2 GVA will acquire Client Information in a legal manner and not by falsify or other unfair means. Also, GVA will notify or make a public announcement of the purpose of use in advance when obtaining Client Information in any other manner than the purpose prescribed herein.

3. Article 3. (Purpose of Use)

1 GVA will properly handle Client Information obtained through accessing our website and making inquiries to GVA and also through providing and performing the Services for the purposes described below. GVA will not use any of the Client Information beyond the scope of the purpose of use without the consent of the client.

Creation of static data and provision of such data to the third party.

GVA analyzes information in the right in terms of gender, age and usage status of Services and creates static data in a form that any individual or group cannot be identified (static data). A third party uses such information for the following purposes upon receipt of static data concerning information in the right.    

・Measurement of advertisement effectiveness.

・Market research and marketing

・Device information

・Log information, Action history, and information on the usage of our website.

・Cookie and Anonymized ID

・The name of Clients, the name of Client’s company and group name, titles, address, e-mail address, phone number

2 GVA may change the purpose of use in the preceding paragraph to the extent that such change is deemed to be reasonably related to the original purpose of use if it conform to the benefit of clients in general, or it does not violate the Purpose of this Policy and is reasonable in the light of necessity of change and appropriateness of the change. GVA notify Clients of the change and details of the policy after the change as well as the effective date of the change. Also, GVA post such the change on GVA’s website in an easy to understand manner.

Article 4. (Provision to a third party)

1 In principle, GVA will not provide any personal information to any third parties without prior consent from Clients. However, in the following circumstances, personal information may be provided to a third party without the Clients’ consent to the extent that such provision does not violate any applicable laws and regulations.

(1) Based on laws and regulations;

(2) When it is necessary to protect the life, body or property of an individual and consent from the client is difficult to obtain;

(3) When it is necessary for improving public health or ensuring the well-being of children and consent form the Clients is difficult to obtain;

(4) When it is necessary to cooperate with government agencies, local public bodies, or any agents thereof, in executing the affairs prescribed by laws and regulations, and obtaining the Clients’ consent is likely to impede the execution of the affairs concerned;

2 GVA will create and store records on the following items upon the provision of personal information to the third party with the prior consent of Clients.

(1) GVA has gained the consent of the Clients in advance.

(2) The name of such third party and other matters that are deemed sufficient to identify such third party.

(3) The name of the person from such personal information and other information that is deemed sufficient to identify such a person.

(4) Items of such personal information

3 GVA shall comply with laws and regulations when providing Client Information especially for personal information to the third party.

Article 5. (Outsourcing)

GVA may outsource the handling of all or part of Client Information to a third party to the extent necessary to achieve the purpose of use. In this case, GVA shall make and enter into a confidential agreement with such a third party based on this Privacy Policy and shall conduct necessary and adequate supervision to ensure adequate safety management of information by the third party.

Article 6 (Sharing)

GVA may share the personal information obtained from Clients with Business Partners and otherwise to a third party to the extent necessary for the provision of Partner Services. In this case, GVA shall publicly announce in advance the items of information to be shared, the scope of a joint user, the user's purpose of use, and the name of the responsible person for managing such information.

Article 7 (Information Gathering Module)

Our website may incorporate information gathering module detailed below to analyze information on the usage status of our website and the advertising effectiveness on our website. Accordingly, GVA may provide Client Information to the following information gathering module providers. The information-gathering module collects Client Information but does not collect any personally identifiable information. The information collected is managed in accordance with the privacy policy and other terms and conditions established by the respective providers.

Article 8 (Safety management system)

1 GVA takes necessary and adequate actions to ensure safety management of Client Information such as access control to personal information files, limiting the number of owners of access right, and installation of security software to prevent unauthorized access from outside in order to prevent information leakage of, and loss and damage to Client Information and to protect other Client Information.

2 GVA will assign managers of personal information to adequately manage Client Information and make continuous improvement of such management.

 

Article 9 (Right of Disclosure, Correction, etc. of Retained Personal Information)

 Please refer to“Guidance on Application for Disclosure, etc. of Retained Personal Information”

for disclosure, correction, deletion, and discontinuation of personal information in our office (hereinafter referred to as Disclosure, etc.).

However, GVA may not be able to perform the necessary procedure for taking such actions if (i) GVA has no such obligation to do so under the Personal Information Protect Act or other laws or regulations, (ii) the same request is made repeatedly without due reasons, or (iii) it requires excessive technical tasks.

Article 10 (Revision)

1 GVA shall endeavor to review the operation of handling Client Information from time to time and to continuously improve such operation. GVA may revise this Privacy Policy as necessary.

2 All revisions to this privacy policy will be posted on our website or in an easy to understand manner. However, GVA will gain the consent of Clients by methods separately specified by us when a revision of this privacy policy requires the consent of Clients in accordance with applicable laws.
