In accordance with this Privacy Policy (“Policy”), GVA Professional Group
(“GVA Group”, “we”, “us”, or “our”) handles the information related to our clients, users of services provided by GVA Group (“Services”), and other relevant parties (collectively, “Clients”) collected during the Client’s use of the Service(“Clients Information”).
※ In this “Policy”, GVA Group refers to GVA Law Office, GVA GLOBAL LPC, GVA Law Office (Thailand) Co., Ltd., GVA TNY Consulting Philippines, Inc., and affiliated offices. Please refer to the website (https://gvalaw.jp/en/offices) for the information on our current offices.
Article 1 (General)
1 GVA Group shall comply with the Japanese Act on the Protection of Personal Information and other related laws and regulations and shall endeavor to properly handle and protect the Clients Information includes personal information to ensure the protection of the Clients Information.
2 This Policy shall not apply to services provided solely by our business partner (“Business Partners”) with whom GVA GROUP collaborates to offer services (“Partner Services”) and to services provided by third parties (“External Services”). For the handling of the Clients Information in the Partner Services, please refer to the privacy policy separately established by the Business Partners.
Article 2 (Information to be Obtained by GVA Group and Method of Obtaining Information)
1 GVA Group may obtain and utilize the Clients Information, as stipulated below, including personal information (personal information in this Article means those defined in Article 2.1 of the Japanese Act on the Protection of Personal Information, and the same shall apply hereinafter).
(1) Information to be Provided by the Clients
We will obtain information such as the Clients’ name, company or organization, title, gender, date of birth, address, e-mail address, phone number, and others necessary for providing the Services.
(2) Information to be collected by us through the Clients’ access to our website.
a. Device information
When the Clients access to our website through devices or mobile phones, we may collect device information (including identification information, etc. that can identify such devices or mobile phones) used by the Clients in order to maintain and improve our website or to prevent any unauthorized use.
b. Log information, action history, and information on the usage of our website.
We may collect IP address that is automatically generated and saved when the Clients access to our website, date and time requested by the Clients, operation history, and/or information concerning the Clients’ usage of the Services in order to maintain and improve our website, or to prevent unauthorized use.
c. Cookie and Anonymized ID
Our website may use a technology called “Cookie” and other similar technologies. Cookie is an industry-standard technology by which a web server identifies the Clients’ computers. Although Cookie can identify the computers used by the Clients, it cannot identify individuals including the Clients. The Cookie function can be disabled by changing the settings on the device; however, by doing so, the Clients is no longer access a part or all of our website.
d. Information to be collected concurrently with the External Services.
We may collect information on which disclosure to the Business Partners is permitted by the Clients; this depends on ID for Facebook or the External Services used by the Clients and privacy settings of the External Services.
2 GVA Group will properly obtain the Clients Information without using fraudulent manners or other wrongful means. Also, we will notify or announce in advance that we obtain the Clients Information through methods other than the Clients’ access to our website.
Article 3. (Purpose of Use)
1 GVA Group will, within the purpose set forth below, properly handle the Clients Information obtained through the Clients’ access to our website, inquiries made to us, and our provision and performance of the Services . We will not use any of the Clients Information beyond the scope of intended purposes without the consent of the client.

2 GVA Group may amend the purpose of use provided for in the preceding paragraph to the extent that such amendment conforms with the general interests of the Clients or does not contravene the purpose of this Policy and is reasonable in the light of circumstances of the amendment, such as the necessity of amendment, and the appropriateness of the details after amendment. Along with such an amendment, we shall notify the Clients of its intention to revise this Policy, the revised contents, and effective date of the revision of this Policy or will announce such revision in an easy to understand manner.
Article 4. (Provision to Third Parties)
1 In principle, GVA Group will not provide any personal information to any third parties without prior consent of the Clients. However, we may, to the extent that the provision of personal information does not violate any applicable laws and regulations, provide personal information on the Clients to a third party without the consent of the Clients in the following cases:
(1) cases based on laws and regulations;
(2) cases in which there is a need to protect the life, wellbeing, or property of an individual, and it is difficult to obtain the consent of the identifiable person;
(3) cases in which there is a special need to improve public wellbeing or promote healthy child development, and it is difficult to obtain the consent of the identifiable person;
(4) cases in which there is a need to cooperate with a national government organ, local government, or person entrusted thereby with performing the functions prescribed by laws and regulations, and the consent of the identifiable person is likely to interfere with the performance of those functions
2 GVA Group will create and store records on the following matters upon the provision of personal information to a third party with the prior consent of the Clients that:
- We have gained the prior consent of the Clients.
- The name of a third party who has received the personal information and information sufficient to identify such a third party.
- The name of individual identified by personal information and other information sufficient to identify such a person.
- Items of such personal information.
3 GVA Group shall comply with applicable laws and regulations when providing personal information contained in the Clients Information to third parties.
Article 5. (Outsourcing)
GVA Group may outsource the handling of all or a part of the Clients Information obtained from the Clients to a third party, to the extent necessary for the achievement of the purpose of use. In such case, we shall make and enter into a confidential agreement that is consistent with this Policy with such third party and shall conduct necessary and adequate supervision over such third party to ensure adequate safety management of information.
Article 6 (Joint Utilization)
GVA Group may jointly use the personal information obtained from the Clients with the Business Partners or other third parties, to the extent necessary for the provision of the Partner Services. In such case, we shall publicly announce in advance the items of information to be shared, the scope of the joint user to use the personal information, such joint user’s purpose of use, and the name of the responsible person for managing the personal information.
Article 7 (Information Gathering Module)
Our website may incorporate information gathering module outlined below to analyze information on the viewing status of our website and the advertising effectiveness on other mediums including our website. Accordingly, GVA Group may provide the Clients Information to the provider of the following information gathering module. The information gathering module collects the Clients Information without including personally identifiable information. The collected information will be managed in accordance with the privacy policy and other terms and conditions established by the provider of information gathering module.

Article 8 (Safety Management System)
1 GVA Group takes necessary and appropriate measures to ensure the safety management of the Clients Information such as access control of personal information files, limitation of the number of individuals with access right, and installation of security software to prevent unauthorized access from outside, in order to prevent information leakage, loss, damage of and to protect the Clients Information.
2 GVA Group will appoint a Data Protection Officer to properly manage the Clients Information and to improve our management.
Article 9 (Right of Disclosure, Correction, etc. of Retained Personal Information)
Please refer to“Guidance on Application for Disclosure, etc. of Retained Personal Information” for disclosure, correction, deletion, and discontinuation of personal information in our office (hereinafter referred to as Disclosure, etc.).
However, GVA Group may not be able to perform the necessary procedure for taking such actions if (i) GVA Group has no such obligation to do so under the Personal Information Protect Act or other laws or regulations, (ii) the same request is made repeatedly without due reasons, or (iii) it requires excessive technical tasks.
Article 10 (Revision)
1 GVA Group shall endeavor to review the operation of handling the Clients Information from time to time and to continuously improve such operation. We may revise this Policy as necessary.
2 Revisions to this Policy will be posted on our website or notified in an easy to understand manner. However, GVA Group will gain the consent of Clients in a manner separately specified by us when the revision requires the consent of Clients under applicable laws and regulations.
